1. Who we are
Daily Frequency Rentals LLC (“DFR Rentals,” “we,” “us,” or “our”) is a vehicle rental company based in Cleveland, Ohio. This policy explains how we handle personal information collected through dailyfrequencyrentals.com and in the course of renting vehicles to our customers.
By using this website or renting a vehicle from us, you agree to the practices described here. If you do not agree, please do not use the site or our services.
2. What we collect
We collect only what we need to rent you a car and run our business. What that amounts to depends on how you interact with us.
Information you give us directly
- Booking requests. When you submit the form on our booking page, we collect your name, phone number, email address, requested dates, and any details you type into the message field.
- Phone and text. If you call or message us, we keep a record of the conversation and any details you provide so we can follow up on your rental.
- Rental agreements. To complete a rental we collect your driver's license details, proof of insurance, date of birth, and a credit or debit card in the renter's name. This is required to verify eligibility and is standard across the rental industry.
- Payment information. Card details are processed by our payment provider. We receive confirmation of payment and a truncated card reference — we do not store full card numbers on our systems.
Information collected automatically
- Server logs. Our hosting provider records standard technical data for every request: IP address, browser type, referring page, and timestamp. This is used for security and troubleshooting.
- Device and browser data. Basic details such as screen size and operating system, used to make sure the site renders correctly.
Vehicle information
Some vehicles in our fleet are equipped with GPS or telematics devices. Where fitted, these record vehicle location, mileage, and basic operating data. We access this information only to locate a vehicle that is overdue or reported stolen, to support roadside assistance, to verify mileage and out-of-state travel under your rental agreement, or where the law requires it. We do not use it to monitor renters for any other purpose, and we do not sell it.
3. How we use it
We use the information described above to:
- Respond to booking requests and confirm vehicle availability
- Verify eligibility to rent — license validity, insurance, and minimum age
- Prepare and administer rental agreements, deposits, and payments
- Contact you about an active or upcoming rental, including reminders and changes
- Provide roadside assistance and handle incidents, damage, or accidents
- Recover vehicles, unpaid balances, tolls, or traffic citations
- Keep records required for tax, insurance, and regulatory purposes
- Detect and prevent fraud, theft, and misuse of our vehicles
- Improve our website and the service we provide
If you have opted in, we may also send occasional messages about rental offers or service updates. Every such message includes a way to opt out, and opting out of marketing never affects messages about a rental you have booked.
5. How long we keep it
We keep rental agreements and the records attached to them for as long as needed to run the business and meet our legal, tax, and insurance obligations. Booking enquiries that never turn into a rental are kept for a shorter period and then removed from our active systems.
When information is no longer needed, we delete it or render it anonymous. You can ask us to delete your information sooner — see Your choices and rights — though records we are legally required to retain will be kept for the remainder of that period.
6. How we protect it
This website is served entirely over HTTPS, and our booking form submits directly to our customer-management platform over an encrypted connection. Access to customer records is limited to staff who need it to do their jobs.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach ever affects your personal information, we will notify you as required by Ohio law.
8. Your choices and rights
You can ask us to:
- Tell you what personal information we hold about you
- Correct information that is wrong or out of date
- Delete information we are not legally required to keep
- Stop sending you marketing messages
To make any of these requests, contact us using the details below. We will respond within a reasonable time and may need to verify your identity first — this protects you from someone else making a request in your name.
To stop marketing messages immediately, reply STOP to any text or use the unsubscribe link in any email. Depending on where you live, you may have additional rights under state privacy law; we honour verified requests regardless of residency.
9. Children's privacy
Our services are for adults. Renters must be at least 21 years old, and this website is not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact us and we will delete it.
10. Changes to this policy
We may update this policy as our business or the law changes. When we do, we will revise the “Last updated” date at the top of this page. Material changes will be communicated more directly where we are able to reach you. Continuing to use the site after an update means you accept the revised policy.
